Warehouse QC photo checklist

Use this checklist after an item arrives at your shopping agent's warehouse and before you approve international shipping. Available photos, extra-photo charges and return deadlines depend on your agent and seller. Open your own order record to confirm those terms.

1. Match the photos to your order

Check the order reference and compare the selected color, size, model and quantity against the purchase record. A stock photo or another shopper's review is useful for comparison, but it is not evidence of what arrived for your order. If the warehouse has combined several items in one image, ask which item belongs to which order.

3. Compare measurements consistently

Choose a garment you already own that fits the way you want. Lay it flat and measure the same points shown in the warehouse photo. Compare measurements in centimeters rather than relying only on S, M or L labels. A flat chest measurement is a width, not the full circumference.

For example, if your own T-shirt measures 54 cm across the chest and the received item measures 50 cm using the same method, the new item is narrower by 4 cm across the flat garment. Whether that works depends on the intended fit and stretch. Do not assume a size label resolves that difference.

4. Separate visible issues from uncertainty

Lighting and white balance can change the apparent color. Request a neutral-light photo if the color looks wrong, and compare more than one view. A blurred image cannot establish whether a seam is defective. Mark the exact area and request a close-up instead of guessing.

Warehouse photos do not authenticate branded goods. They also cannot establish material composition, long-term durability or hidden defects. Do not interpret the absence of visible damage as a guarantee.

5. Decide before the return deadline

Review the agent's current return or exchange procedure while the item is still at the warehouse. Ask whether the seller accepts a return, what fees apply and when the request must be made. If an important detail remains unresolved, request clarification before approving dispatch.

A message you can adapt

Please confirm that these photos belong to order [reference], size [size], color [color]. Please provide a clear photo of [area] and a flat measurement of [dimension] with the ruler visible. Please also confirm the return deadline and any applicable fees.

6. Check the parcel separately

Product QC and parcel preparation are different checks. Before shipping, confirm the item count, packaging options and the carrier's restrictions for the goods you plan to send. Use the agent's current packed-weight and parcel-dimension estimate; an individual product's listed weight may exclude packaging.
